We rang in the new year with our loved ones at our side. Whether we’re in Times Square, at the local bar, or watching the event from our living room, many of us were up past midnight to sing Auld Lang Syne, watch the fireworks, and partake in our annual traditions. Now with it nearing the end of the first month of 2023 and the New Year Resolutions have been in full swing, it’s time to address the elephant in the room.

It can be an absolute nightmare for Employers once the Jan 31st deadline draws near. Mailing out W2’s, 1099’s, and other tax information on time is not only crucial but a legal requirement. Late penalty fees currently range from $50 – $500 per W2.

Those same mailings come with a lot of risk. Employers, HR Departments, CPAs, and third-party HR/employment agencies alike all know about human error. These mistakes, if not handled efficiently and quickly could be detrimental. We’ll also provide you with a free, downloadable affidavit for proof of mailing, a benefit where the Post Office would typically charge you for a Proof of Mail Certificate.

If one of your recipients changes address and no longer works for you, Postalocity will be able to automatically forward that mail to the recipient so long as they have filed a change of address with the post office (no forwarding addresses needed!).

Postalocity has over 12 different forms available for creation that include the most common of the 1099 Series, 1098 Series, and 5498 series. Postalocity also has other forms available per request which includes other various 1099 formats, 1097’s, Form 3921, Form 3922, and W-2G.

How to Get Started

If you haven’t done so yet, sign up for a free account.

Once you’re logged in, navigate down to the “Start a Mailing Job” section of your dashboard. Click on the “Use Wizards” button and select “Create Tax Documents”.

Note: It is important that the file you upload to the IRS follows the filing specifications stated in IRS Publication 1220 (  https://www.irs.gov/pub/irs-pdf/p1220.pdf  ). It is legally required that anyone who is mailing more than 250 Information returns or forms, must File Electronically. Postalocity will read that same file to create the PDFs for mailing to save you time and money.
