Tax season is upon us and to most business owners, tax accountants, and payroll companies, it’s not the most…. wonderful time…. of the year. With so many things restricted these days because of Covid, you might be wondering how you’re going to print and mail completed employee tax forms like W-2’s, 1099’s, 1099 MISC, (and 2021’s brand new tax form that supplements the 1099 MISC: the 1099 NEC) especially if you and your staff are working remotely. That pesky deadline to get them to employees by January 31st will be here before we know it!
Paper Needs!
Another well-known headache of this task is ordering the very specific types of paper and envelopes needed for these forms. You will need form W-2, transmittal form W-3, form 940 for reporting your FUTA liability, form 941 to report payroll taxes and employee wages, form 944 for businesses that report federal income and FICA taxes annually, form 1095-B if you offer your employees self-insured health plans, and several others.

There are also six different styles of envelopes required to mail your forms. Not only are the forms and envelopes expensive, especially when purchasing low volumes, but it’s difficult to know how much you should order. If you order too much, the leftover paper goes directly to the garbage since you cannot use it in the future. If you order too little, shipping times can take a couple of weeks. This is especially annoying if you only need one or two more sheets.
