How Postalocity Secures Your Documents Online

When you mail online through Postalocity, you mail securely because:

  • You upload your documents directly to us.
  • They are never attached to an email and routed through an online mail system to an inbox.
  • You never have to worry about whether your mail is getting routed correctly or securely.
  • Your mail doesn’t have to be opened and reviewed by a person with a third-party company.

When you upload your documents:

  • They are immediately encrypted and moved behind the security walls of Amazon Web Services (AWS).
  • You are the one that makes minor formatting adjustments to the files and reviews proofs of what the final mailed pieces will look like.

No person at Postalocity is looking at the information included in your mailing while it is encrypted and stored digitally unless you ask Postalocity Customer Service for assistance with your mailing.

How Security Is Maintained During Printing

In addition to maintaining confidentiality of your mailing, we also have steps in place to ensure every piece of paperwork that is part of your mailing gets in the correct envelope to its intended recipient.

To maintain confidentiality:

  • Each piece of paper is printed face down so the contents cannot be seen by any person monitoring the printer or walking past it.
  • Each piece of paper is also barcoded to ensure every page gets printed.
  • The pages in each mail piece are accumulated by the page numbers in the barcodes until each piece is complete.
  • The barcoding process ensures that no piece of paper is missing, double-fed, or misappropriated without the system notifying us.
  • Once the mail piece is complete, it is folded, inserted, and sealed into your custom envelope, and your file is automatically deleted by the system.

The entire process is fully automated except for moving paper from machine to machine, and operation of the machines printing your mail.

How You Track and Verify Your Mail

Just like when you send mail manually, you have the option to have your mail sent priority or certified by Postalocity for documentation and auditing purposes. Priority and certified mail include a tracking number that will show when your mail is delivered to its recipient.

You can also request a Certificate of Mailing, which is a USPS receipt documenting the date and time your mail was sent, and is a more affordable alternative to sending certified or priority mail if all you need is proof of mailing.

Due to our close relationship with USPS, we have access to mail tracing and share it with you at no additional cost. Mail tracing allows you to look up mail by mailing, by name, or by address, and you can see its status within the USPS system up to the piece being out for delivery.
