One of the great advantages of Postalocity as a digital mailing platform is its ability to replace every step of your manual mailing process, including the necessity of storing physical supplies like branded envelopes that you paid to have printed, or windowed envelopes that require printing your documents a certain way, so mailing information displays correctly through the windows when the documents are folded, stuffed and sealed in the envelope.
Postalocity allows you to upload or create not just one envelope design, but unlimited designs. Once you have designs uploaded or built, our support team reviews them to ensure they meet the requirements of the postal service. When they’re approved, they are added to your envelope design gallery, and you can select the design you want to use with your mailing. The appropriate number of envelopes are printed on demand to match the number of pieces mailed – no extra inventory or storage needed, no formatting your documents or invoices to print a certain way.
Our envelope design feature is set up to make it easy for anyone to create and use a branded envelope. If you have a PDF file of your envelope design, you can simply upload it and begin using it once our team has a chance to verify it. You can also build an uncomplicated design straight through Postalocity or use starter templates available for download through the platform to design your envelope look and upload it.
Using Postalocity’s envelope design gallery not only eliminates the need to keep physical stock of envelopes on hand, it also allows you to create designs for specific purposes without having to print separate envelopes or hand stamp a standardized company or windowed envelope. Whether it’s adding a note that an invoice is enclosed, making a recipient aware that contents are time sensitive or adding a festive touch for a holiday mailing, you can create designs, select them from your digital gallery for your mailing, and they’ll be printed on demand to match the number of pieces in your mailing.

Add an envelope design to your Postalocity account!
To add an envelope design, you will need to be logged in to your Postalocity account. Once you are logged in, click on ‘Designs’ in the left navigation menu, then click on ‘Envelope Designs’. The Envelope Designs page will display, giving you options to create a new envelope design and view a gallery of the designs already approved and available for use in your account with different mailings.
There are three different ways to add an envelope design to your Postalocity account. You can upload a PDF copy of an envelope design you’ve already been using to print physical envelopes, you can build a simple design through Postalocity, or you can download a zip file from Postalocity with starter templates in common design programs to create a design of your own that meets postal regulations.
Upload an existing envelope design.
The easiest way to add an envelope design to your design gallery is to upload a PDF file of a design that you’ve already been using on pre-printed envelopes. You can do this by dragging your PDF where indicated or selecting it and uploading it from the location where you have it saved. While the Postalocity support team must review all envelope designs that get uploaded before they are approved for use, if your design has already been used for mailings it’s unlikely the design will be rejected and sent back to you for updates.
Once you upload your design, our team typically reviews and approves them within 24 business hours (8 am to 5 pm CT, Monday-Friday), sometimes less. Once approved, you will be notified via email, and your envelope design will be added to your Envelope Design Gallery for use.
Build a new envelope design in Postalocity.
If you don’t have an envelope design readily available, you can build a design through the Postalocity platform by clicking on the ‘Build New Design’ button on the Envelope Designs page. This feature will not offer you the same level of flexibility as designing your own, but it will factor in areas that the post office requires remain blank or designated for mailing information so that you don’t have to worry about your design getting rejected for these reasons.
You can choose the position of your Mail To Address, whether you want to use the default address on your account as the Return Address or enter an alternate Return Address, and upload an image file to add a picture or graphic to the front of your envelope. You will not have the option to change the font type of your return address through this option, and any image you upload will automatically be restricted to approved zones on the envelope.
If you add an image or graphic to your envelope, make sure that the proportions are locked and that you have resized it to fit in the usable space, so that it does not get distorted or covered up in a disallowed zone. Our team may catch an image or graphic that noticeably doesn’t look right, but this is not what they’re checking for when making sure the design of your envelope can go through the mailing process with the post office.
When you save your design, it will be sent to Postalocity’s support team for review. Once approved, you will be notified via email, and your envelope design will be added to your Envelope Design Gallery for use.
Create an envelope design in a design program and upload it.
If you have some familiarity with design programs, have a graphic designer on staff, or work with one, Postalocity has starter templates available to use for commonly used programs like Illustrator, InDesign, Photoshop, Publisher, and Word. These templates can be downloaded as a zip file, and once opened, will show the design area and where addresses need to be located.
Using the templates provided by Postalocity to ensure you are not putting a return address or artwork in restricted areas will save you time by reducing the chance that your design is rejected. Make sure that you remove the instruction layer before you save your design!
Creating your own design will allow you to choose the font type for your address and incorporate the logo of your company as part of the return address for a more polished look than the design program of Postalocity. You can also use the artwork space to add a graphic or include text that alerts the recipients to the contents of the envelope.
To upload your design, the file needs to be in PDF format, and it needs to be under 1 MB. When your file meets these requirements, you can upload it the same way you would a previously used design on the Envelope Designs page, and it will go through the same approval process by our support team.
Use your new envelope design for your next mailing!
Once designs have been approved, they can be used for mailings you are sending out in standard size envelopes. When you start your next job to send letters, scroll down the page to ‘Settings’. There will be a design option listed under the envelope type. Click the radio button for ‘Custom Design’ and a window will pop up that will allow you to choose from the approved envelope designs in your account.
